Your Opportunity:

We are seeking a dedicated and highly skilled Administrative Support professional to join our team at the Stollery Children's Hospital. Be a part of the team creating the Stollery Centre for Virtual Health (The Centre) and spearhead the innovation and integration of appropriate, safe, and patient-centered virtual care. The Centre will support multiple projects that provide innovative and enhanced virtual care services for all Stollery kids – locally and in rural and remote locations including indigenous communities. The successful incumbent will manage a variety of complex tasks while providing Administrative support to the Senior Project Manager and the team for the Center. Day-to-day tasks include but not limited to the following: meeting management, tracking of actions, deadlines and deliverables. Assistance with recruitment, payroll, financial management, supply ordering, create, format, and edit various business documents (e.g. briefing notes, reports, presentations, proposals) and respond to day-to-day inquiries. Additional responsibilities include: Documentation version control and management of documents in Microsoft Teams Channel. Plan and organize special events. Responsible for design, procurement, maintenance, and distribution management of all communication, promotion, and marketing items. Exceptional communication skills, with the ability to tailor and convey information of varying complexity to diverse audiences in a clear, efficient, and effective manner. Ability to adapt and stay focused, efficient, and effective in managing multiple priorities in an ever-changing environment. Strong organizational, time keeping, expense management, and calendar management skills are essential. Excellent problem-solving abilities, with the ability to work independently with a high level of tact, discretion, and professionalism.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

Post-secondary education in a relevant field of study, supplemented by additional administrative, business management, project management, computer systems, communications/engagement, public relations, journalism, visual design, brand and/or data visualization courses. Minimum of five years of progressive experience in a large, complex, and diverse organization, preferably in healthcare. Expertise in formatting, grammar, syntax, and proofreading. Advanced proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint, One Note, MS Teams). This is a typical office position with prolonged (up to 7.75 hours) sitting for computer work. Physical exertion is encountered by, standing, lifting, as required for events and movement of administrative supplies/ materials. Occasional travel to attend or run special events may be required, successful candidate will be required to have access to reliable and safe transportation. A combination of relevant education and work experience may be considered.

Preferred Qualifications:

Completion of additional courses in administrative, computer, digital media, managerial, project management, and/or leadership is preferred. Prior training in Epeople (payroll,RMS) , E-manager, Markview, iProcure, and iExpense. Demonstrated experience managing stakeholder relationships within a healthcare sector is an asset.
