Administrative Support V
Your Opportunity:
The Administrative V is an advanced position that supports the day-to-day operations of the Pediatric Trauma, Surgery and Child Kind portfolio. Working under minimal guidance and direction, the Admin V applies advanced skills to perform a variety of specialized and complex activities to address escalated issues or concerns where there are no established processes or guidelines. This role will report directly to the Patient Care Manager (PCM) but support will be provided to all direct reports including: 2 Unit Managers, Clinical Nurse Specialist, Trauma Coordinator and Surgery Nurse Practitioners. Specific roles and responsibilities will include but not limited to the following : in-scope leadership to other administrative staff within the program, drafting and preparing documents (such as briefing notes, memos, annual reports and research proposals) gathering and analyzing financial information (to develop financial reports, monitors variances in expenditures and operating budget), supports the recruitment process (such as creating job postings, arranging interviews, and conducting reference checks). In addition to this, the Admin V will also be responsible for the day-to-day management of the PCM calendar, emails, meetings, presentations, and providing support for key issues and meetings. Additional responsibilities include tracking performance and professional development conversations, vacation requests, timekeeping and file management. This role will work closely with managers, clerical and clinical staff from other programs as the first point of contact for the Pediatric Trauma, Surgery and Child Kind portfolio. The successful incumbent will be familiar with and apply the principles of Family Centered Care and Child Kind in their day-to-day interactions.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:Completion of an Administrative Professional diploma or post-secondary education in Office Assistant, or Business Administration required. Minimum of 5 years' experience in a health care-based organization working in an administrative position with progressively increasing responsibility required. Advanced knowledge of computer technology and applications including but not limited to: Microsoft Office (Excel, Power Point, Word, Outlook, Teams, One Drive) required, Oracle, Markview, and Epeople. Excellent organizational skills with strong communication and interpersonal and public relation abilities. Excellent grammatical skills with the ability to format, proofread, and syntax documents. Must be able to sit and stand for prolonged periods of time and be physically able to lift and push up to 50 pounds.
Preferred Qualifications:Demonstrated Leadership ability. Reliability and flexibility in a complex and rapidly changing environment. Strong critical and problem-solving ability. High level of tact and discretion. Sound judgement with the ability to work independently, under pressure, and within short timelines, without compromising quality of work. Excellent grammatical skills with the ability to format, proofread, and syntax documents.
