Your Opportunity:

Reporting to the Patient Care Manager the Administrative Support V is an advanced position that provides effective and efficient senior level administrative support to the management team within the RAH Ophthalmology/ Otolaryngology Operating Room and Adult Day Surgery/Preadmission Clinic/Short Stay (23 Hour) Unit, this position is primarily responsible for complex administrative and secretarial support to the clinical management team. Effective teamwork and conflict resolution, change and resource management skills are all essential components in this fast-paced and dynamic environment. Must be able to work independently and as part of a team, strong organizational and leadership skills are required. The ability to critically think, take initiative to problem solve daily issues, proactively address and solve process issues is an important part of the positions. A strong track record in establishing and maintaining effective working relationships with internal and external stakeholders is required. The incumbent should be able to manage individual schedules, organize and manage complex meeting and appointment demands for a large group of individuals, services and activities associated with the operating room. Performs reception and communication duties, facilitates flow of information through the OR administrative group including surgeons. The position creates and drafts correspondence including memo’s, formats and edits documents including briefing notes. Prepares meeting material, records minutes and follows up on action items. Performs computerized payroll entry and higher level ePeople functions associated with on-boarding and organizing new hire paperwork and orientation of employees. The incumbent must be able to work under pressure with significant demands while handling competing and frequently changing priorities often within tight time lines.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

Advanced computer experience required including strong technical knowledge of MS Office (Excel including complex spread sheet management, Word, PowerPoint & Outlook) required. Knowledge of eManager, Oracle Business Systems is required. Knowledge of e-people (recruitment, payroll) required. Knowledge of administrative office procedures required. Demonstration of a clear pattern of personal and professional growth and development. Excellent planning, organizational and time management skills. Proven communication and interpersonal skills with the ability to provide clear, concise and accurate information in response to complex inquiries. Strong process analysis, problem solving and decision-making skills with attention to detail. Ability to demonstrate communications skills that promote respect and a positive team environment in a highly demanding environment. Must demonstrate flexibility in order to accommodate competing and changing workload demands Demonstrates advanced problem-solving skills integrating critical thinking abilities. Preferred Qualifications:

Five years’ experience with progressively increased responsibility in an organization of significant size, complexity and diversity required, healthcare experience particularly in an OR setting is an asset.
