Your Opportunity:
The Office Coordinator to the Executive Associate provides comprehensive administrative support to the Human Resources Shared Services leadership team.
Description:
This position provides administrative support to the Senior Program Officer’s office by: Maintaining the calendars of the Directors, and the Executive Directors when required, in HR Shared Services. Completing payroll time entry for approximately 30 staff including SPO’s direct reports and direct reports of ED and Directors. Runs and analyses reports for department. Books meeting rooms and arranges for telehealth and audio-visual equipment. Orders office supplies from Grand and Toy and other contracted vendors as required. Aids in completing purchase requisitions for the team. Gathers agenda items, creates agenda’s and takes and distributes meeting minutes at multiple reoccurring meetings. Other duties as assigned by the Executive Associate.

Minimum of High School Diploma required and a Post-Secondary Diploma, preferably in business administration, office administration. Minimum 3 years senior administrative level experience. Equivalent combinations of experience and education will be considered. Superior written and verbal communication and interpersonal skills in working with all levels of management and staff. Ability to work independently with minimal direction or supervision. Ability to maintain confidentiality regarding highly sensitive issues. Ability to lead, develop and implement standardization protocols for office system. Ability to adapt to constantly changing environment and new situations. Considerable ability to stay focused, efficient, and effective in managing multiple priorities. Advanced experience working with Outlook, Word, Excel, PowerPoint, Visio, and SharePoint.
Additional Required Qualifications:
Knowledge of Alberta Health Services and Peoplesoft would be considered an asset
