Reporting to the Director of Human Resources Business Partnerships – Calgary Zone, the Administrative Support provides accurate and appropriate coordination and administration of a variety of Human Resources services. You will be a customer service focused individual who has an ability to work in a discreet and confidential manner, be adaptable to changing situations and have a commitment to working in a team setting. Key responsibilities include; calendar management for Director and Manager(s); prioritizing appointments; drafting correspondence; maintaining and managing workflow to handle projects and tasks effectively; payroll duties; tracking and reporting; booking grievances for assigned areas; troubleshooting for both laptop, cellular device and general IT issues; managing program registrations; ordering stationery and IT equipment; assisting with onboarding/offboarding team members; processing expense claims; back-up coverage support for the main Grievance Booker/Admin Support position. This position also provides support to the department by being a first level of contact with HR Business Partnerships – Calgary Zone for the Director, Managers and staff in terms of day-to-day issues. This position supports and models the customer service focus by responding to standard requests from internal and/or external clients and seamlessly relaying them to the appropriate and correct HR staff. There is also an ‘Other Duties, as Assigned’ requirement in this role for various ad hoc work, as they arise.

Completion of post-secondary education (i.e. certificate or diploma in office, business or human resources) is required. A demonstrated clear pattern of professional and personal development.
Additional Required Qualifications:In addition, the incumbent will possess a record of accomplishment in the following areas: Advanced computer skills in Microsoft Office. Advanced skills with cellular devices (iPhone & Android). Effective communicator with strong organizational skills, demonstrated time management, client focused orientation and commitment to providing quality services. Must be able to exercise judgement, tact, diplomacy and discretion when dealing with highly sensitive and confidential issues. Approachable and willing to assist, combined with a strong work ethic and attention to detail. Professionalism and the ability to respond to changing priorities in a busy, detail orientated work environment are essential. Strong track record in establishing and maintaining effective working relationships with internal and external stakeholders. Effective in email communications and correspondence. Experience in analytic data reporting (i.e.. resource management, performance reporting, budgetary accountability).
Preferred Qualifications:Previous experience in a human resources role ideally in an organization of significant size, complexity and diversity (healthcare and/or union environment experience an asset). Experience with administrative policies, procedures and standards pertaining to staffing, recruitment classification, employee and labour relations Proficiency with e-People, SharePoint, Mark View, and iExpense.
