Your Opportunity:

The Administrative Assistant V- Provincial Medical Affairs will provide comprehensive administrative support to the Medical Workforce Strategy team, and direct administrative support to the Director. This position provides complete administrative support to the team by: Assisting in records and file management. Assisting with financial bookings, invoice payments, and expense submissions. Providing support for meetings including scheduling, minute taking, and agenda preparation. Providing logistical support for events including shipping and delivery of exhibition display materials. Evaluating, filing, and posting online job advertisements and distributing applications. Facilitating and filing timesheet submissions and leave requests. Providing email inbox organization, tracking, reporting, and process related follow-up. Building and maintaining workflow related documents and tools. Supporting the workflow involved in Community Sponsorship postings to Taleo. This position will primarily work with colleagues on the Provincial MA Medical Workforce Strategy team but will also have considerable interaction with HSDO/PHA stakeholders, such as with Medical Affairs Physician Resource Planners, Managers, Directors, Coordinators, as well as with external stakeholders such as CPSA, private community clinics, and prospective physician leads.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

3 Years of related healthcare experience. Preference to those with experience working in Medical Affairs. Able to work effectively in an extremely fast paced/high demand environment, switching tasks frequently without losing progress. Considerable working knowledge of AHS systems and processes. Considerate working knowledge of legislation, polices and processes and general office policies and procedures. Considerable working knowledge of office software (Outlook, Excel, Word, and Access) in order to respond to action requests and to prepare and edit correspondence and respond to stakeholder inquiries. Excellent written and oral communications skills.
