Your Opportunity:

The South Health Campus is an innovative concept that is more than a “hospital.” It is built in a campus environment and includes inpatient, outpatient, and wellness services, as well as prevention, public health education and learning opportunities for community members. The campus also includes wellness facilities with partners such as a YMCA, as well as retail and commercial partnerships. The hospital will adhere to four key pillars of service: Collaborative Practice, Wellness, Patient and Family Centred Care and Innovation. These pillars are the key philosophical principles to be used in the development and implementation of all care to patients and families at SHC. Under the direction of the management team this position is responsible for ensuring that the business of staffing, scheduling, payroll and other clerical duties for the Respiratory and Pulmonary Function Departments is completed in a timely and organized manner. Responsibilities: Ensure the departments are appropriately staffed, in collaboration with ESP. Collaborate with the management team in the planning, implementation and evaluation of time-off and vacation requests. Manage payroll. Analyze staffing / scheduling patterns to determine if changes to rotation / work-plan should be recommended to the management team. Analyze employee reports, and identify potential problems that may need the management team’s follow up (i.e. excessive / patterns of sick time). Initiates activities in e-people / RMS (including postings, documentation) at the direction of the management team. Arrange meetings for the Manager and take minutes when required.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

Completion of a Medical Office Assistant Diploma/Certificate/Business Administration Diploma/Certificate. Recent (within the last 18 months) experience in an administrative capacity in a health care setting. 2-3 years of recent experience (within the last 3 years) using RMS for posting and recruitment. Recent Experience (within the last 18 months) using ESP; including data entry, processing of staff requests and operational replacements. 2-3 years of recent experience (within the last 18 months) with payroll, payroll codes and understanding of various collective agreements. Working knowledge of UNA, HSAA, AUPE AUX, AUPE GSS Collective agreements, as they relate to scheduling and payroll functionality. Intermediate competency in MS Office Suite, including 50-60 wpm typing, to be verified via testing. High degree of skill with problem solving and critical thinking skills. Must be self-directed and work under minimal supervision with frequent interruptions. Experience with Oracle iProcurement, and eFacilities. Ability to lift supplies/equipment up to 50 lbs. Ability to sit/stand and walk for long periods of time.

Preferred Qualifications:

Ability to provide admin support through scheduling interviews, calendar management, and Excellent interpersonal skills. Excellent written and verbal communication skills. Working knowledge of position and rotation management preferred.
