Your Opportunity:

Facility & Supportive Living (FSL) has an immediate opening for an Administrative Support IV. Role and responsibilities include using advanced technical and computer skills to support projects, SharePoint, shared drive management and e-record retention, meetings, formatting, and document management. Additionally, the Administrative Support IV works closely with business team members sharing responsibilities and ensuring program coverage. Your excellent communication skills, positive attitude, flexible and professional approach as well as astute organizational skills will ensure the completion of various responsibilities, including: Managing health and business information including electronic document filing and shared drive management (per records retention schedules). Supporting administration of the FSL SharePoint site. Using Meditech, Connect Care and other platforms to facilitate program operations. Scheduling, preparing, and distributing confidential information and supporting documents for a wide range of meetings. Drafting and formatting a variety of correspondence and documents including letters, memos, reports, presentations, agendas, and minutes. Occasionally filling medical surgical supply orders. Cross-training and providing coverage for administrative team colleagues. Acting as an ambassador for the program while maintaining composure and professionalism in an often-changing environment with shifting and time sensitive priorities and expectations.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Minimum of a certificate in office administration. Advanced computer skills in Microsoft Office Suite & Adobe Pro; to be assessed (preferably experience using SharePoint, Meditech & Connect Care). Strong keyboarding skills (minimum of 55 words per minute; to be assessed). Experience in managing electronic filing systems, shared drives, and records management. Systems thinking, attention to detail and ability to focus on repetitive computer work for an extended period. Excellent written and verbal communication skills. Ability to work under pressure and adapt to changing priorities. Must demonstrate excellent organizational and decision-making skills with the ability to work independently.
