Administrative Support IV
Your Opportunity:
The Administrative Assistant will perform a variety of general administrative and clerical services. The incumbent will be required to both take direction and work intuitively as they provide effective and efficient administrative support to the Management Team. They will work collaboratively with the Administrative and Management teams to support the completion of the program’s goals and objectives in a professionally and culturally appropriate manner that aligns with our values. The position requires the ability to work effectively under pressure and with a high degree of independence, demonstrating excellent communication and interpersonal skills, sound judgement, excellent problem-solving skills, as well as a high level of accuracy and accountability. The successful applicant will have demonstrated their advanced skills in the use of Microsoft Office: MS Word, Excel, OneNote, OneDrive and SharePoint. The position is responsible for calendar management, preparing materials, meeting preparations and support, financial activities such as expense claims and payroll duties in E-People, RMS activities, and file management. Daily work activities are varied and diverse and will involve communication and collaboration with several team members in order to organize/maintain schedules and achieve objectives while under pressure to handling multiple tasks, changing priorities and sometimes short deadlines. Must be capable of taking own initiative and recognizing priorities of work delegated by the director and the managers. Additionally, they will use discretion to address escalated issues or problems where there may not be established processes or guidelines. The incumbent must exercise judgment, discretion and independent decision making across a spectrum of activities that may include internal and external relationships, and administrative duties.

Additional Required Qualifications:High school graduate with an Office Assistant Certificate or completion of an Administrative Professional diploma or equivalent with experience in a health care environment is required. Demonstration of advanced / intermediate skills with computer technology and applications including but not limited to: MS Word, MS Access, MS Excel, MS Outlook, MS Teams, MS OneNote, MS PowerPoint, MS OneDrive, SharePoint are essential. Three to five years’ experience in the development and management of complex schedules for a complex unionized work. environment / in an administrative position.
Preferred Qualifications:Oracle experience preferred.
