Your Opportunity:

Are you a detail-oriented and dependable professional who enjoys supporting healthcare teams behind the scenes? We’re looking for an Administrative Support III to join our specialized clinics and programs. In this fast-paced and rewarding role, you will play a key part in supporting services that directly impact patient care. You will coordinate complex schedules, manage client communications, and maintain clinical documentation while supporting a multidisciplinary team. As a primary point of communication between team members, you will help ensure information flows effectively across the team. Responsibilities include booking appointments with physicians and therapists, managing inquiries via phone, email, and fax, and ensuring timely follow-up with patients and providers. You will process and manage referrals, including intake, triage support, and tracking through to booking. You will also build Connect Care templates for a large volume of staff, maintain spreadsheets using intermediate Excel functions, and manage waitlists. The role involves adjusting appointments in response to staffing or client changes. You will also manage documents within EMRs, assist with preliminary outpatient screening, and provide coverage across administrative areas as needed. You will also have primary responsibility for ensuring inventory levels for programs are sufficient. This involves monitoring, ordering, restocking and tracking a large volume of items. This role requires adaptability, strong organization, and a commitment to delivering high-quality, patient-centered support.

Required Qualifications:

Completion of Grade 12 or equivalent.

Additional Required Qualifications:

To succeed in this role, you require a minimum of three (3) years of recent administrative experience in a healthcare setting, preferably within a rehabilitation hospital, within the last five (5) years. A high school diploma and medical terminology training are required; Medical Office Assistant or Unit Clerk training is an asset. Experience supporting interdisciplinary rehabilitation teams, including Allied Health clinicians, is essential, along with a minimum of two (2) years working in a clinical environment with complex patient populations. Strong organizational skills and the ability to manage competing priorities in a fast-paced environment are required. You must work independently and collaboratively, with clear, professional communication and a commitment to client-centered care. Proficiency in keyboarding and accurate data entry is required, along with working knowledge of Microsoft Office, Teams, Zoom, Connect Care (minimum 1 year), and NetCare. Minimum typing speed of 40 wpm required. Experience with Oracle ordering, inventory tracking through physical checks, and managing stock using minimum and maximum levels is required. Must be able to sit for prolonged periods, lift up to 25lbs, and move between tasks throughout the shift.

Preferred Qualifications:

Medical Office Assistant or Unit Clerk training is considered an asset.
