Your Opportunity:

This position is the primary contact for the Facilities Maintenance and Engineering Department for receiving and expediting department requests for service. The incumbent must present a professional image both on the phone and in person and communicate with tact and sensitivity. The Clerk must exercise considerable judgment in determining the most appropriate maintenance staff member to contact to respond to the call for service requests. Completes maintenance work order and payroll data entry. Responsibilities include: Reception duties, including handling multi-line phone system for maintenance service requests. Prioritizing requests, entering work order information and dispatching appropriate trades persons in an efficient and timely manner. Advising Director/Manager of unusual problems. Accessing and entering data related to the CMMS system. Maintaining key requisition files. Maintaining filing system for completed work orders, time sheets, general files, photocopying. Maintaining an emergency fan out list. Preparing requisitions for ordering of office supplies. Setting up interviews/meetings, booking meeting rooms, mail pick up/distribution.

Required Qualifications:

Completion of Grade 12 or equivalent.

Additional Required Qualifications:

High School diploma supplemented by a post-secondary Community College secretarial or office administration certificate. Intermediate technical/professional experience (i.e. 3-5 years) required. Data entry, receptionist and payroll experience. Organization, time management, people skills.

Preferred Qualifications:

Experience in maintenance background an asset. Experience in accurate trades dispatching an asset. Experience in file management an asset. Additional education in interpersonal relations is an asset.
