Administrative Support III - Patient Intake/Referrals & Front Desk
Your Opportunity:
Under general supervision of the Bone and Joint Unit Manager this position will provide a wide range of clerical support. The incumbent will alternate between working at the Main Front Desk and the Central Access & Triage (CAT) office. The CAT office is responsible for receiving, reviewing for completeness, sorting and transcribing patient referrals into EPIC along with creating and managing surgeon’s waitlists. This will include liaising with both referring agents and surgeons’ offices, including sending letters to referring agents regarding referral status. The successful candidate will be expected to verify & validate information, collaborate with the CAT Triage RN to ensure patients are entered onto the correct surgeon’s waitlist. Employees are required to help with management of the referrals work queues 1 to 5. Front Desk duties will include interacting and answering questions from the public, verifying & validating patient information, arriving patients for appointments for multiple orthopedic clinics. Employees are expected to triage clinic phone calls, notify patients of appointment dates and pre-appointment instructions and document all telephone encounters. Candidates will perform additional tasks as required from the leadership team to support a busy clinic. Successful candidates must demonstrate critical thinking, effective time management, flexibility & attention to detail. Completion of Grade 12 or equivalent.
Additional Required Qualifications:Medical Terminology. Fluent in written and spoken English language. Minimum 2 years' experience as an AS3 or AS4 in a hospital setting (within last 4 years). Minimum 1 year experience using EPIC in an Ambulatory Clinic Setting. Working knowledge Microsoft Office, word, excel, outlook, sharepoint. Strong interpersonal skills and ability to work in a team environment. Demonstrated organizational skills and competence in time-management. Ability to work independently and prioritize own workload in fast paced work environment. Ability to multi-task in an environment with frequent interruptions.
Preferred Qualifications:Previous Ambulatory Referral Management experience. Previous experience Managing Referral Work queues (1 to 5). Strong Understanding of Referrals Entry & Waitlist. Previous experience working in an Orthopedic Clinic. Unit Clerk or Medical Office Assistant Course. Demonstrated Knowledge of the CPSA Guidelines. Working knowledge of FAST, Alberta Referral Directory. Proficient computer skills.
