Your Opportunity:
Reporting to the Manager of the Calgary TB Clinic, the Admin Support Clerk III is essential to the clinic's operations, providing crucial reception and appointment scheduling services in a fast-paced environment. This role requires a dynamic and efficient individual who excels in time management, communication, and critical thinking. The ideal candidate will have experience working with immigrant populations and non-English speaking patients, ensuring that all interactions are handled with sensitivity and professionalism. Key Responsibilities: Provide reception services to patients, families, and callers. Register and check in patients upon arrival. Collect demographic information and relevant care data from patients. Coordinate all appointment scheduling for specific visit types. Monitor and manage patient waiting lists effectively. Ensure that patients are scheduled within prioritization and waitlist timeframes. Contribute to ongoing quality improvement projects in the clinic. The successful applicant will be required to complete 5 weeks of orientation. Completion of Grade 12 or equivalent.
Additional Required Qualifications:Candidates for this clerical role are required to have post-secondary education, such as certification as a medical office assistant or in business administration. Completion of an Administrative Professional diploma or an equivalent program, along with experience in a healthcare environment, is essential. Applicants should possess intermediate knowledge of computer technology and applications, including MS Word, MS Excel, MS Outlook, MS Visio, MS OneNote, and MS Teams. Attention to detail and a high level of accuracy are crucial for success in this position. Fluency in English, both written and oral, is mandatory. The ability to work independently with minimal direction while managing multiple changing priorities and interruptions is necessary. Additionally, candidates should be able to lift 0 - 10 lbs. frequently and 10 - 20 lbs. occasionally, as well as be comfortable moving between sitting, standing, and walking significant distances throughout the clinic during the day.
Preferred Qualifications:Proficiency with Connect Care, iPHIS, and Netcare. Ability to complete clerical documentation accurately. A solid understanding of cultural competency, particularly in working with immigrant and refugee populations. Effective communication skills to support non-English speaking clients, ensuring an inclusive environment that respects diverse backgrounds. Strong interpersonal abilities are vital to fostering positive interactions with all patients and visitors in the clinic setting.
