Administrative Support II
Your Opportunity:
This is an Administrative Support II position within the Billing Cash and Collections portfolio. Provides telephone and in person reception duties and a variety of mailroom printing and scanning duties such as receiving, open/counting incoming mails. Sorting and scanning invoices/documents in system. Gather and prepare all outgoing mail and perform filling duties. AS II positions can be divided into specific accountabilities and tasks for Billing Cash and Collections with individuals working in one accountability area only, or in a set of accountability areas. This position requires strong multi-tasking skills and involves daily completion of high volume, repetitive, fast paced and physically demanding tasks (lifting, pushing etc.) that need to be completed on tight timelines. Key Responsibilities: Dealing with high volume of daily incoming mail, which needs to be opened, sorted, stamped, and distributed accordingly. Prepare a listing of cheques received with necessary details, scan their advice backup individually and appropriately name them in the network drives for other staff’s use. Sort the high volume of return mail and distribute to each staff through separately prepared scanned attachments in emails. Review and complete daily high volume print runs from multiple billing systems. Attend to all fax received and distribute by scanning them to respective staff members Answer telephone calls, retrieve messages and distribute to respective staff members. Perform all necessary filing functions Dealing with a high volume of gathering, sorting and preparing all outgoing mail for daily invoices and statement runs in a timely manner.

Completion of Grade 12 or equivalent.
Additional Required Qualifications:Determine placement of scanned documents as per AHS retention policy Attend to ad-hoc requests for faxing and retrieval of invoices/statements Monitor print and mail supplies and place orders when necessary Schedule service calls for maintenance issues with Office Hardware (mail Machine/Printer etc.) when needed Perform other duties as assigned by Supervisors/Managers Ensure all daily tasks are completed before end of day to prevent impact on other workflows and teams Grade 12 or recognized equivalent and Minimum 3 years of most recent experience with a large organization in an administrative and office environment. Demonstrated use of MS Office (Excel and Word).
Preferred Qualifications:Experience using EPIC and/or HRCM
