Unit Clerk
Your Opportunity:
The Unit Clerk is an integral member of the Medicine Specialty Clinics (MSC) and the multidisciplinary team. This position provides general clerical support to the Stroke Prevention Clinic and other Ambulatory Care Clinics as required. The incumbent enters, updates and searches patient and clinic related information using computerized information systems, including but not limited to Microsoft Office Products, Outlook, Netcare, and mainly Connect Care. Responsibilities include updating demographic information, data entry into clinic specific spreadsheets using Microsoft Excel, and scheduling patient appointments into Connect Care. This position initiates and maintains patient related files and records. The clerk serves as the point of first contact in matters concerning the efficient administration of the referrals in the MSC. Responsible for referral intake and initiation of the triage process for all urgent clinics and other ambulatory care clinics as required. The clerk’s knowledge of specific patient transactions and overall unit operations is imperative to the smooth and efficient operation of the clinics. This includes but is not limited to processing orders, lab requisitions, liaising with other departments, booking tests, managing complex schedules and communicating scheduling needs. The Unit Clerk plays a key role in helping foster a team environment in the ambulatory care clinics by facilitating communication between physicians, nursing and other health disciplines, inter disciplinary departments, patients and families. This individual is responsible for maintaining confidentiality of patient information. The clerk provides clerical support to nursing and other health disciplines in order for them to provide focused patient care.

As a Unit Clerk, you will be responsible for the efficient flow of communication between health professionals, departments, patients and families while maintaining confidentiality of patient information. You will also be responsible for a variety of administrative tasks which may include reception, greeting and directing visitors, patients and health professionals, maintaining patient records and charts, transcribing and processing physician orders as well as scheduling patient tests and/or treatments. You will also be responsible for performing a range of administrative activities in support of the unit.

Completion of Grade 12 or equivalent. Completion of an accredited Unit Clerk Course or equivalent training program.
Additional Required Qualifications:Completion of the Unit Clerk Course—certificate required. Medical terminology and computer office training required. Health care provider-CPR through Heart and Stroke Foundation is required. Must be able to perform chest compressions associated with CPR. Must be able to understand and communicate effectively, in writing and verbally, in the English language. Connect Care scheduling experience is required. Must be proficient in the use of Windows, Excel, Outlook, and Microsoft Offices products. Previous experience in complex referral processes is required. Previous experience in an Outpatient Ambulatory Care Clinic setting is required. Ability to problem solve and work on own initiative is required. Must be flexible, able to prioritize and organize workload and adjust to rapidly changing needs of the department. Must maintain patient confidentiality. Must have the ability to work well within a team and deal effectively with conflict and sensitive issues. Requires excellent understanding of customer service. Must be able to push, pull and assist with Bariatric patients weighting in excess of 300 pounds (150 KG) by wheelchairs and / or stretcher as required to porter patients. Courteous and pleasant telephone etiquette is essential. Must be able to make time sensitive decisions and critically think. Must be able to deal with stressful patient interactions and have strong conflict resolution skills.
