Your Opportunity:

The Executive Administrative Coordinator (EAC) at Alberta Children's Hospital is an exciting opportunity to meaningfully contribute to ACH and ACH partners. The EAC works with limited supervision as a key support to the Senior Operating Officer (SOO) and Facility Medical Director (FMD), as well as other members of the senior leadership team as required. This role is fully on site at ACH (as opposed to home based or hybrid) and provides comprehensive executive administrative and operational support, and acts as a liaison and resource for the SOO/FMD to AHS Executive leadership, partner organizations, site leaders and team members, contributing to the smooth functioning and reputational credibility of the Alberta Children's Hospital and senior leadership team. The position also acts as a resource to other administrative support staff within the team or office by providing expertise and assistance. Major accountabilities include executive administrative work, coordination and organization; drafting and managing communications, contribution to the efficient flow of the senior leadership office; data collection and project coordination; process improvement and contributing as a strong team player.

Description:

Types of work the Executive Administrative Coordinator would be involved in, include, but not limited to: researching issues/providing background; drafting messages on behalf of senior leadership; Preparing background materials for senior leadership meetings; Monitoring and tracking requested work submissions and responses; Responding directly to day to day inquiries on behalf of senior leadership; Developing, implementing and maintaining relevant document tracking systems (ex. Briefing Notes, Capital & Emergency Equipment submissions, travel, recruitment, etc.); Regularly reviewing workflow to ensure greatest efficiencies Major Accountabilities: Executive Administrative Organization and Coordination (60%), Drafting and Managing Communication (15%), Data Collection and Project Coordination and Management (15%), Process Improvement (10%) The EAC maintains a positive and professional image and demonstrates diplomacy, tact and maintains confidentiality. The role also requires the ability to think critically and to take initiative when issues arise. The incumbent needs to easily establish credibility with those they interact with. The EAC coordinates and participates in a variety of site projects and ensures resources, responsibilities and timelines are clearly articulated to facilitate planning and decision making.

Required Qualifications:

Minimum of Post Secondary education in office administration. Business writing skills/training. Minimum 5-7 years of progressively responsible senior experience within in a large healthcare environment. Advanced skill in Microsoft Office (Excel, Word, PowerPoint, Outlook, and Visio) Adobe Professional, e-People Recruitment Management System is mandatory, scheduling system. Considerable knowledge of Alberta Health Services systems and processes, policies and procedures. Strong interpersonal and team-oriented skills. Ability to exercise judgement, professionalism, diplomacy and discretion overall, and especially when dealing with sensitive and confidential issues. Ability to prioritize, manage and meet deadlines in a time sensitive and multi-project environment is essential. Excellent written and oral communication skills are necessary – particularly accuracy, completeness.


Additional Required Qualifications:

Ability to successfully work independently with minimal supervision. Self-directed in their approach to take on additional tasks as required as to benefit the effective operation of the senior leadership office. Commitment to customer/client/partner satisfaction.


Preferred Qualifications:

Business Writing Training. Project Management certification. PROSCI or AIW certification.
