Description:
The Executive Administrative Assistant provides advanced administrative, operational, and coordination support to the Senior Operating Officer (SOO) and leadership team within Diagnostic Imaging. The position manages executive calendars, coordinates meetings and events, prepares correspondence, reports, presentations, and briefing materials, tracks action items and issues, and supports the flow of information across the portfolio. The role serves as a key point of contact for internal and external stakeholders, exercising discretion and sound judgment in handling confidential and sensitive matters. The position also supports portfolio operations through project coordination, information management, financial administration, recruitment and onboarding activities, and the development of reports and documentation. Working in a fast-paced and complex environment, the Executive Administrative Assistant anticipates needs, manages competing priorities, and contributes to the effective operation of the SOO's office by ensuring administrative processes, communications, and deliverables are completed accurately and on time.

Completion of a two year post-secondary diploma in Office Administration, Business Administration, or a related field, combined with a minimum of two years of progressively responsible administrative experience supporting senior leaders in a complex organization. Demonstrated proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams. Strong organizational, communication, and interpersonal skills are essential along with the ability to manage multiple priorities, exercise sound judgment, maintain confidentiality, and build effective working relationships with a diverse range of stakeholders. An equivalent combination of education and experience may be considered.

Preferred Qualifications:
Experience supporting executive-level leaders within a healthcare or public sector environment. Knowledge of project coordination, financial administration, SharePoint, Oracle/PeopleSoft, and records management practices is considered an asset. Advanced Excel and reporting skills are desirable.
