Description:
The Executive Administrative Assistant provides senior level executive support to the Senior Program Director within Quality & Healthcare Improvement (QHI), enabling the efficient operation of a provincial program focused on advancing quality, safety, and patient centered care across Alberta. This role manages complex and confidential workflows, including scheduling, correspondence, briefing preparation, and coordination of high priority requests involving internal leaders, external partners, and system level committees. Working with a high degree of independence, the Executive Administrative Assistant triages and prioritizes information, anticipates needs, and ensures timely follow through on commitments. The role requires strong judgment, professionalism, and the ability to navigate sensitive issues in a rapidly evolving environment. Responsibilities also include supporting provincial initiatives, maintaining efficient administrative systems, preparing high quality documents and presentations, and enabling clear communication across QHI and other AHS portfolios. As a central coordination point for the Senior Program Director, the Executive Administrative Assistant contributes to the success of initiatives that enhance healthcare quality and safety across the province. At least 2 years of: Administrative experience. Advanced working knowledge of Microsoft Office Suite (Outlook, Word, Excel, Visio, PowerPoint). Ability to functionally supervise, coach, and mentor other Administrative Support staff. Strong knowledge of political sensitivities and the diverse interests of various internal and external stakeholders. Ability to anticipate needs and action appropriately. Excellent oral and written communication skills with a strong ability to draft correspondence. Excellent organizational skills and ability to independently prioritize own workload and workload of other administrative staff (as required). Ability to act in a professional manner in dealing with the public, management, staff and other departments. Ability to maintain confidentiality and discretion. Strong ability to establish and maintain collaborative and professional relationships with a variety of stakeholders. Knowledge of broad office policies and procedures as well as applicable legislation (e.g. POPA and ATIA).

Preferred Qualifications:
Prior experience in health care. Education or experience in project management and financial management. Working knowledge of Oracle (specifically knowledge of PeopleSoft and MarkView). Proficiency in developing databases and/or advanced Microsoft Excel skills including creating spreadsheets and reports.
