Administrative Support V
Your Opportunity:
The Administrative Support V is an advanced position providing direct support to the Manager of Site Operations which oversees a diverse portfolio which includes the Site Integrated Operations Centre (SIOC), Central Portering, the Joint Workplace Health and Safety Committee and Medical Photography. In this position, you will have the opportunity to work in collaboration not only with the Portfolio but also with leaders within the hospitals. The incumbent works with a strong understanding of the complex needs and priorities of the office. The role includes operational support, office management, information management, human resource support, financial support as well as other duties as required. The Administrative Support V must be able to use their judgement in interpreting requests and determining requirements to meet project/task timelines. Additionally, the Administrative Support V uses discretion to address escalated issues or problems where there may not be established processes or guidelines. It is expected that the incumbent interacts in a professional manner with all levels within the organization.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:Minimum five (5) years’ progressive experience in an administrative role providing direct support to operational leaders. Advanced computer skills demonstrating proficiency in the use of personal computers. Advanced knowledge of Microsoft Office (Word, PowerPoint, Excel) including the ability to develop templates and databases. Advanced knowledge of Outlook (email and calendar). Advanced skills working with and setting up SharePoint sites. Advanced skills working in MS Teams. Ability to set-up and maintain filing systems including electronic filing system. Skilled in the recording of minutes and demonstrated ability to professionally summarize data for distribution. Experience in supporting staff recruitment processes, scheduling & payroll for teams Excellent written and verbal communication skills. Demonstrating exceptional collaborative abilities. Ability to exercise judgment, professionalism, diplomacy and discretion when dealing with sensitive and confidential issues. Demonstrated ability to work effectively within a team environment. Ability to problem-solve independently, anticipate needs and take initiative.
Preferred Qualifications:Working knowledge of Collective Agreements as they apply to staff scheduling processes and payroll. Experience working in ePeople (including RMS), Markview, Oracle, and eFacilities. Experience supporting operations in a health care setting preferred. Proficiency in inforWFM (scheduling and payroll).
