Your Opportunity:

We are seeking a highly organized, detail-oriented, and proactive Administrative Support V to join the Medicine Program at the University of Alberta Hospital (UAH). This position provides administrative and operational support to the Patient Care Manager and Unit Managers within a large, complex acute-care program. The successful candidate will coordinate program priorities, manage confidential information, prepare reports, support staffing and recruitment, and assist with daily operations. The ideal candidate can anticipate needs, prioritize competing demands, work independently, and maintain accuracy in a fast-paced hospital environment. Key Responsibilities: Manage calendars, meetings, agendas, minutes, correspondence, action items, room bookings, and follow-up for the PCM and Unit Managers. Prepare presentations, briefing materials, reports, spreadsheets, and program communications. Support UAH Medicine operational priorities, special projects, quality-improvement initiatives, and position management. Generate operational, staffing, and performance reports using Connect Care and other AHS systems. Compile and verify data, identify discrepancies, and create tools to support leadership decisions. Provide recruitment support, including postings, interviews, candidate communication, offers, onboarding, and orientation. Develop posters, newsletters, educational resources, presentations, and staff communications. Coordinate education sessions, recognition events, workshops, meetings, and leadership forums. Maintain confidential employee and program records in accordance with AHS standards. Identify opportunities to improve administrative workflows, communication, and service delivery across the UAH Medicine Program.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

Diploma or certificate in Business Administration, Office Administration, Health Administration, or a related field. 3-5 years of progressively responsible administrative experience supporting leaders in a complex environment. Advanced proficiency in SharePoint and Microsoft Office Suite, particularly, Excel, Word, Outlook, PowerPoint Experience creating reports, dashboards, and data summaries. Experience coordinating multiple priorities and managing competing deadlines. Strong written and verbal communication skills. Demonstrated ability to maintain confidentiality and exercise discretion. Preferred Qualifications:

Experience working within AHS or a healthcare environment. Experience using Connect Care reporting tools. Experience with staffing and scheduling software such as WFM or ESP. Experience supporting recruitment and onboarding activities. Experience planning large-scale meetings, education sessions, or events. Experience using graphic design software such as Canva, Adobe Creative Suite, Publisher, or similar applications. Experience with supply ordering and management practices.
