Administrative Support V
Your Opportunity:
The primary responsibility of the position is to provide a full range of senior level administrative duties for Medical Leader(s). The role ensures the Leaders' responsibilities related to portfolio delivery/development are aligned with physician requirements and priorities. Activities include, but are not limited to: Provide comprehensive administrative support by managing day-to-day operations of the Medical Leader(s)’. Ensuring effective communication and coordination of activities; Manage calendar and meeting logistics, including scheduling meetings, preparing agendas, meetings. Packages and minute taking. Drafting correspondence, preparation of sensitive and confidential data, briefing notes, annual reports and presentations. Coordinate physician administrative processes, including medical staff privileges, preparing expense claims; support recruitment, search and select processes and onboarding physicians and a variety of administrative projects. Build and maintain effective working relationships with Physicians, internal/external stakeholders and Senior Leaders to support organizational priorities and ensure the successful achievement of Medical Leader(s) objectives. Effective project management skills and attributes are critical as the position develops plans, organizes and manages several diverse projects and consults with stakeholders, management and staff as required. There is an expectation for a high level of interpersonal and communication skills and critical thinking and organizational skills while maintaining confidentiality, demonstrating sound judgement and adapting to changing priorities in a collaborative, fast paced environment.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:The candidate must have at least 5-10 years’ experience, preferably supporting Senior Leaders. Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams, with demonstrated expertise in calendar management and document preparation. Proven experience coordinating meetings, including agenda development, preparation of meeting materials, minute taking and follow up acting items. Demonstrated ability to effectively manage competing priorities, meet tight deadlines, and adapt to changing demands while maintaining a high level of accuracy and attention to detail. Exceptional written and verbal communication skills. Strong critical thinking, problem-solving and time management with the ability to exercise sound judgement and work independently. Proven ability to build and maintain effective working relationships and demonstrated commitment to maintaining confidentiality when handling sensitive information.
