Administrative Support V
Your Opportunity:
Admin V provides advanced level clerical, admin support, performing duties that focus on supporting administration and care providers within the unit. Involves working under minimal supervision in support of the goals and objectives. Key responsibilities include maintenance of unit work plans, staff assignments and payroll. Analyzing staffing levels and make changes. Anticipating staffing needs and escalating to the manager as needed. Assisting with office procedures that support more complex scheduling and timekeeping procedures. Schedule patient’s appointments, process Physicians orders including coordinating appointments with other departments. Maintains regular contact with medical specialty areas as part of the patient care team to ensure quality appointment scheduling. Patients will be greeted respectfully and with empathy by the Administrative Support V via telephone and in face-to-face encounters. The Admin Support V will be responsible for the following, but not limited to Ability to run reports, maintenance of rotations, setting up new hire IT access, maintenance of operations manuals, records keeping and documentation. Must be able to perform complex duties, organize multiple demands with shifting priorities. Responsibilities of the Administrative Support V require independent judgment, critical thinking and proven problem solving skills with a solid knowledge of departmental and organizational policies and procedures. The incumbent must have the ability to respect the confidential nature of healthcare information as per AHS policies. Able to communicate effectively in English both oral and written. Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:Minimum 2-year staff scheduling (WFM) experience. Working knowledge of the various collective agreements in AHS (UNA, HSAA, AUPE). Required proficiency with Microsoft Office applications, with extensive experience using Microsoft Word and Microsoft Excel, and Outlook. Experience with rotation management. Experience running payroll and Timekeeping Process. Proficient in Teams and SharePoint. Able to multitask with little direction. This position includes the following physical requirements: being on one's feet for extended periods of time (including walking/standing), be able to bend, lift, push, and pull equipment up to and sometimes exceeding 20lbs.
Preferred Qualifications:3 years’ experience as an Administrative Support V role within the last 6 years. Orientation to Peter Lougheed Centre site. Connect Care proficiency. Scheduling appointments in Connect Care. 1 year experience working in Respiratory Services. 1 year experience in outpatient clinics as an administrative support IV or greater.
