Are you an experienced administrative professional who thrives in a fast paced, complex healthcare environment? Stollery Respiratory Services is seeking a highly organized and proactive Administrative Support V (Admin V) to support the Respiratory Therapy team across multiple Stollery Children’s Hospital critical care sites, including the University of Alberta Hospital, Royal Alexandra Hospital, and Sturgeon Community Hospital. This is a dynamic role for someone who enjoys leading day to day administrative operations, managing competing priorities, and being a trusted partner to clinical and operational leaders. As the Admin V, you will play a critical role behind the scenes, helping ensure essential respiratory services run smoothly for patients, families, and frontline staff. Key Responsibilities: Coordinate and support recruitment activities through RMS (job postings, interview scheduling, reference checks, and access requests). Provide expert support with HR processes, including employee onboarding, ePeople transactions, and follow up. Manage calendars for Management, coordinate meetings, prepare agendas, and record minutes. Maintain departmental records, databases, and tracking tools with a high degree of accuracy. Prepare financial summaries for multiple functional centres and support expense processing. Assist with department communications, including preparation of newsletters and updates. Support special projects, priority work, and coverage of related administrative functions (e.g., Sleep Lab patient bookings and/or staffing liaison support) as assigned. Exercise sound judgment, discretion, and critical thinking when handling confidential information and operational issues. Supply and IT equipment management.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:3-5 years working in an intermediate or advanced administrative support capacity. Previous experience with complex timekeeping, payroll, and scheduling ESP. Strong written and verbal communication skills. Advanced working knowledge of Microsoft Office Suite (Office, outlook, powerpoint, and excel). Experience with calendar management. Minimum typing speed of 60 wpm with excellent accuracy. Experience with AHS administrative programs including WFM, ePeople, RMS, eManager, iExpense, and Markview. Excellent attention to detail and critical thinking skills. Good proof reading, formatting and grammar skills. Excellent organizational skills and attention to detail. Ability to recognize and handle confidential information appropriately.
Preferred Qualifications:WFM Liaison training/access. Certificate business administration of office management or equivalent. Experience working with a large multisite, multidisciplinary healthcare team. Experience working as an Admin V in a hospital setting. Medical Terminology familiarity.
