Your Opportunity:
This Administrative Support V position encompasses two major leadership responsibilities: Team Leadership: Supervising and providing leadership to the Medical Oncology administrative support team. Section Chief Support: Supporting the Section Chief and assigned oncologists in their clinical, administrative, academic, and research duties. Team Leadership Responsibilities include supervising and providing leadership to the Medical Oncology administrative support team, working closely with the manager and Medical Affairs team. Key responsibilities include supervising while providing mentorship and guidance, managing absences and coordinating team coverage, overseeing workflow and workload distribution, leading day-to-day operations and contributing to process development and improvement, acting as the primary liaison between administrative staff and management, supporting recruitment efforts, and functioning as a subject matter expert on administrative workflows. Section Chief and Physician Support Responsibilities include comprehensive administrative, clinical, academic, and research support to the Section Chief of Medical Oncology and assigned oncologists. Key responsibilities include managing calendars, coordinating meetings and travel, handling university finances and documentation (e.g., ROCA, insurance forms, prescriptions), preparing CVs, reports, and grant applications, and ensuring effective communication with patients, staff, and the public. Additional duties involve triaging calls, organizing educational and clinical rounds, navigating Connect Care workflows, covering colleagues and front desk operations, and completing various assigned projects.

Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:The candidate will have a minimum of five years of related and progressive administrative experience within an acute care and academic medical setting, with a solid understanding of the Department of Oncology and the operational processes, procedures, and workflows at the Arthur J.E. Child Comprehensive Cancer Centre. This experience must include direct support of multiple physicians, with relevant experience in physician academic, administrative, research, education, clinical and surgical practice support as it relates to Medical Affairs workflows, processes, and procedures. The candidate must have completed a course(s) in medical terminology, be able to type 60-70 words per minute, and have proficient skills using Microsoft Office. They must have strong written and oral communication skills, leadership skills, organizational skills, and be self-motivated requiring minimal supervision. The candidate must have the ability to think critically, problem-solve, and work under pressure while managing competing and changing priorities. They must exercise professionalism, good judgement, tact, and discretion when dealing with highly sensitive and confidential matters. Candidates may be required to undergo skill testing.
Preferred Qualifications:Experience with Connect Care and Netcare is an asset. Previous leadership experience is an asset. Post-secondary courses in professional writing, communication, project management, and HR are an asset.
