Administrative Support IV - Recruitment Assistant
Your Opportunity:
Reporting to the Team Lead, Recruitment and e Records Operations, HR Shared Services, the Administrative Support IV – Recruitment Assistant is responsible for providing high volume, transactional recruitment support to Provincial Health Agencies (PHA), Provincial Health Corporations (PHC), Alberta Precision Laboratories, Capital Care, and Covenant Health. This role is transactional in nature and focuses primarily on supporting the Recruitment Management System (RMS). The Recruitment Assistant’s duties include reviewing and approving vacancies and ensuring compliance with applicable collective agreements and vacancy management guidelines; reposting, cancelling, and amending job requisitions; responding to manager inquiries related to the Recruitment Management System; and creating in scope and non union exempt offer letters in compliance with collective agreements and audit requirements. The Recruitment Assistant may also assist hiring managers with shortlisting, reference checks, and related recruitment activities as required. In addition, the Recruitment Assistant is responsible for reviewing and approving pre-employment security requirements, including criminal record checks, vulnerable sector searches, and license or credential validation, in accordance with organizational policies and regulatory requirements. The Recruitment Assistant is accountable for escalating complex or unusual administrative issues, as well as decisions requiring changes to established recruitment policies, regulations, or processes, to the manager or a senior team member. This position is also accountable for ensuring all recruitment activities are accurately maintained, compliant, and completed in a timely manner.

Additional Required Qualifications:A Diploma in Human Resources from a recognized post-secondary institute is a requirement for this role. An equivalent level of education will be considered with 3 years minimum of high-volume human resources experience in an organization of significant size and complexity. Strong attention to detail and accuracy. Ability to take initiative and employ critical thinking skills. Experience in full-cycle recruitment, including reference checking, shortlisting and offer letters, in an organization of significant size, complexity, and diversity is required. Ability to function independently in a high demand, high volume, and multi-tasking environment is required. Able to transcribe a verbal conversation, real-time, ensuring the accurate and efficient recording of information. Excellent customer service skills are required. Ability to be part of a positive team and work in partnership with other Production Centre/HR teams, as well as internal/external stakeholders. Recent experience with the RMS (Taleo) and PeopleSoft or similar HR systems in a HR Assistant role is required. Intermediate reading, writing, and English comprehension skills are required. Must be able to communicate in a professional manner to external stakeholders. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) is required.
Preferred Qualifications:Experience in a shared services environment within the past 3 years is preferred. Experience working in Taleo and Peoplesoft is preferred. Health Care experience is an asset.
