Your Opportunity:

Bring your organizational expertise to a busy urology practice where your work will directly support timely, coordinated care for patients from across Northern Alberta. The Kipnes Urology Centre is seeking a highly professional, adaptable Medical Office Assistant who enjoys variety, works well under pressure and takes pride in creating an excellent experience for patients, families and clinical teams. Reporting to the Clinic Manager, you will be a trusted member of a collaborative surgical team and an essential link among patients, urologists and healthcare partners. In this high-volume setting, you will manage complex physician schedules and help coordinate operating-room time, ambulatory clinics, procedures, diagnostic testing, referrals, follow-up care, on-call coverage, educational rounds and meetings. Your ability to anticipate needs, organize competing priorities and communicate with clarity and compassion will help keep the practice running smoothly. This role combines advanced administrative responsibilities with patient-facing service and limited clinical support appropriate to an unregulated healthcare position. You may assist with rooming patients, obtaining and recording vital signs, and transporting patients or equipment. The ideal candidate is calm, resourceful and meticulous, protects confidentiality and contributes positively to a fast-moving team. Strong availability during orientation is important to support comprehensive training and a successful transition into the role.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Completion of a recognized Medical Office Assistant or Medical Administrative Assistant certificate program, or equivalent related post-secondary education. Minimum three years of recent experience providing complex administrative and clinical support to a physician in a high-volume healthcare environment. Experience coordinating specialist referrals, surgical bookings, diagnostic testing, follow-up care and physician schedules. Proficiency with Netcare, diagnostic imaging systems, referral and wait-list management, insurance claims, physician billing and billing codes. Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook Email and Outlook Calendar. Accurate keyboarding speed of at least 55 words per minute. Demonstrated ability to triage competing administrative priorities, manage frequent interruptions, identify urgent issues and complete time-sensitive work accurately. Strong organizational, problem-solving and independent decision-making skills. Excellent written, verbal, interpersonal and customer service skills, with the ability to communicate professionally and compassionately with patients, families and healthcare teams. Proven ability to maintain confidentiality and handle sensitive information. Must be able to frequently walk, sit and stand for extended periods, occasionally push or pull up to 50 kg, and lift equipment or deliveries weighing more than 25 kg for transport or transfer to the appropriate team member.

Preferred Qualifications:

Experience in urology, surgery or a high-volume ambulatory specialty clinic. Proficiency with Connect Care and working knowledge of Alberta Health Services systems, processes, policies and procedures. Medical terminology and business writing coursework are assets.
