Your Opportunity:

Working with minimal supervision, provides administrative and operational support to the Director, Executive Director, and departmental teams. Acts as a liaison with Emergency Disaster Management (EDM), Assisted Living Alberta, municipalities, and external stakeholders, while supporting emergency management and business continuity activities. Key Responsibilities Manage executive calendars, meetings, events, travel arrangements, and logistics. Prepare agendas, minutes, reports, presentations, briefing notes, and correspondence. Track action items, commitments, and urgent issues to ensure timely follow-up. Maintain and update records, personnel files, SharePoint sites, Insite content, and departmental documentation. Support emergency preparedness activities, maintain EOC readiness, participate in exercises, and assist with after-action reviews. Coordinate training schedules, registrations, materials, and compliance records. Assist with recruitment activities, including requisitions, postings, interviews, offers, and onboarding. Administer purchase requisitions, purchase orders, inventory, and equipment tracking. Support committees, projects, stakeholder engagement activities, conferences, and departmental initiatives. Research and implement process improvements to enhance efficiency and service delivery. Provide problem-solving support and contribute to effective departmental operations and cross-functional collaboration.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Valid Class 5 drivers’ license Advanced / intermediate knowledge of computer technology and applications including but not limited to: MS Office Suite, SharePoint, and Adobe are essential. Demonstrated competency in Timekeeping/Approval is required. Experience in Tableau, video editor and other relevant software tools are considered an asset. Strong organizational, communication, and interpersonal skills. Incident Command System scribe training and/or experience is preferred. In-house training to be completed within 12-18 months of hiring includes Exercise Design, Site Command Post, CBRN e-learning, Introduction to BCM, and Psychological First Aid.

Preferred Qualifications:

3–5 years of experience preferred. ICS (Incident Command System) 100 required, ICS 200 preferred. Experience or demonstrated interest in emergency management and/or business continuity is an asset. Healthcare background and knowledge of Alberta Health Services (AHS) structure preferred. Ability to handle sensitive information with confidentiality, discretion, and tact. Knowledge of ATIA and HIA legislation. Able to work extended hours in high-pressure, rapidly changing environments.
