Administrative Support IV
Your Opportunity:
Administrative Support IV is a multi-skilled position supporting the Rural West Integrated Home Care (IHC) team within the Calgary Zone. Working independently with minimal supervision, the role provides advanced administrative support to the Area Manager, Care Managers, and interdisciplinary team members, including Nursing, Physical Therapy, Occupational Therapy, Social Work, and Health Care Aides. Key responsibilities include managing calendars, correspondence, appointments, records, client scheduling, office systems, supplies, and billing activities. The position serves as a resource for departmental policies, procedures, and administrative processes while supporting efficient service delivery. The role coordinates complex schedules, organizes meetings, prepares agendas, minutes, reports, and correspondence, and responds to client and operational inquiries. Additional duties include maintaining personnel files, departmental forms, emergency manuals, and supporting workshops, training initiatives, and onboarding activities. The Administrative Support IV also manages information and reporting functions by maintaining data integrity, generating reports, compiling statistics, and updating information systems. Staff scheduling and payroll responsibilities include applying collective agreement provisions, assigning relief staff, processing payroll transactions, resolving discrepancies, and coordinating orientation and training requirements with the WFM Liaison. This position requires strong organizational, communication, problem-solving, and decision-making skills, along with the ability to manage multiple priorities and support the effective operation of Integrated Home Care services.

Additional Required Qualifications:Two years experience in medical office administration within an acute care hospital setting and/or one to two years of Home Care experience. Knowledge of Continuing Care–Home Care processes is required. Strong knowledge of medical terminology and proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, are required. Advanced computer skills, accurate data entry, and familiarity with standard office equipment are essential. The successful candidate will demonstrate excellent written and verbal communication skills, strong interpersonal abilities, and a customer-focused approach. Exceptional organizational, multitasking, and problem-solving skills, along with strong attention to detail and the ability to manage competing priorities in a fast-paced environment, are required. The ability to work independently with minimal supervision while maintaining professionalism, discretion, and confidentiality is essential. Candidates must demonstrate sound judgment, critical thinking, conflict resolution skills, flexibility, initiative, and the ability to make timely decisions in changing situations. A proven ability to work collaboratively with diverse teams and consistently adhere to organizational policies and procedures is required.
Preferred Qualifications:Experience with Connect Care, Workforce Management (WFM), payroll, scheduling, and timekeeping systems is preferred. Related healthcare administration or scheduling experience is considered an asset.
