Your Opportunity:

The Department of Surgery is seeking a highly organized and detail-oriented Administrative Coordinator (Admin IV) to provide operational and administrative support across a variety of departmental functions. This position supports physician onboarding and privileging activities, departmental projects, financial processes, reporting, and general administrative tasks as assigned by management. Working closely with physicians, leadership, Medical Affairs, and administrative teams, the successful candidate will coordinate multiple priorities while ensuring compliance with organizational policies and procedures. Key Responsibilities include but not limited to the followings : Provide administrative and operational support to the Department of Surgery across a variety of functions and initiatives. Coordinate physician onboarding, appointment, and privileging activities as assigned. Support departmental projects, process improvement initiatives, and special assignments. Assist with financial and payroll-related processes, including physician on-call payments and related tracking. Maintain records, databases, reports, and other departmental documentation. Liaise with physicians, leaders, and internal stakeholders to facilitate communication and resolve administrative issues. Monitor deadlines, track action items, and ensure timely completion of assigned work. Perform other administrative duties in support of departmental operations as required.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Post-secondary education in Health Administration, Business Administration, Office Administration, or a related field; an equivalent combination of education and experience may be considered. Minimum five (5) years of progressively responsible administrative experience, preferably in a healthcare or complex organizational environment. Demonstrated ability to manage multiple priorities and shifting workloads in a fast-paced environment. Highly adaptable and flexible, with the ability to respond effectively to changing priorities, evolving processes, and operational needs. Proven ability to work independently and make sound decisions in situations where information may be incomplete or direction is limited. Strong organizational, problem-solving, and critical-thinking skills, with the ability to identify issues and develop practical solutions. Excellent attention to detail and ability to maintain accuracy while managing competing demands. Strong interpersonal, written, and verbal communication skills, with the ability to work effectively with physicians, leaders, and diverse stakeholder groups. Demonstrated ability to exercise discretion and maintain confidentiality when handling sensitive information Proficiency with Microsoft Office applications, databases, and electronic record systems.

Preferred Qualifications:

Experience supporting administrative, financial, or project-related activities within a healthcare environment. Experience coordinating multiple stakeholders, projects, or processes with competing deadlines. Experience working in a hospital, academic medicine, or large public-sector organization. Familiarity with physician administration, onboarding, privileging, or Medical Affairs processes.
