Administrative Support IV
Your Opportunity:
The Glenrose Rehabilitation Hospital is seeking an Administrative Support IV to join our Seating Service team. The Seating Service provides specialized assessment and wheelchair seating solutions for clients in the Edmonton and North zones. As an Admin Support IV, you will play a key role in ensuring the seamless operation of this busy service while working directly with clinicians, technicians, clients, families, and community partners. This position requires exceptional organizational and communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced clinical environment. The Admin Support IV is responsible for managing seating referrals, including monitoring referral inboxes, entering data into Connect Care, and updating WorkQueues. This role coordinates client scheduling, cancellations, and rescheduling in collaboration with therapists, technicians, community partners and administrative colleagues. Regular communication with clients, families, and community therapists is essential to ensure referral requirements are met and appointments are properly arranged. The position also involves maintaining and updating client records, tracking workflows, scanning and uploading clinical documentation, and ensuring information accuracy. Administrative support may be involved in procurement processes such as vendor communications, requisitions, and purchase order tracking. The Administrative Support IV assists with departmental education events, workshops, and vendor meetings, as well as preparing and distributing correspondence, reports, and appointment packages. Additional responsibilities include supporting workload measurement data collection, operational reporting, and quality improvement tracking. The incumbent will also provide cross-coverage for other administrative roles within the Allied Health portfolio as required.

Additional Required Qualifications:Candidates must have completed a recognized administrative or office program or possess equivalent training and experience. A minimum of three years of progressive administrative experience is required, preferably in a healthcare or rehabilitation environment. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams, is essential, as is proficiency using electronic health record systems such as Connect Care. Applicants should have knowledge of medical terminology and familiarity with Alberta Aids to Daily Living (AADL) processes, which is considered a strong asset. Strong organizational, prioritization, and time management skills are required, along with excellent interpersonal skills and the ability to demonstrate professionalism, tact, and diplomacy when interacting with patients, families, clinicians, and external partners. The ability to work independently while contributing to overall team success is also essential.
Preferred Qualifications:Previous experience in an outpatient setting or tertiary rehabilitation hospital is preferred.
