Your Opportunity:

The Administrative Support IV plays a vital role in supporting operations, scheduling, communications, and administrative functions within the Edmonton Zone EEG program. This position is responsible for a broad range of operational duties including inventory and equipment management, policy development, meeting coordination, recruitment support, and financial processes such as payroll, expense claims, and invoicing. The incumbent also contributes to performance feedback and quality assurance initiatives. Scheduling responsibilities include managing complex EEG appointment bookings across multiple sites, maintaining a zone-wide waitlist and ensuring compliance with FOIP and HIA regulations. The incumbent works independently with minimal supervision, exercising sound judgment and discretion to address competing priorities, resolve scheduling challenges, and improve operational efficiency. They liaise with Neurologists, EEG Technologists, physician offices, and other departments to ensure seamless coordination of patient care. Communication tasks include coordinating meetings and internal communications, responding to inquiries from patients and providers and managing release of information requests. The incumbent ensures professional and timely communication, identifies and escalates issues as needed, and maintains documentation standards. This role requires strong organizational and interpersonal skills, adaptability in a dynamic healthcare environment, and a commitment to excellence in patient care and administrative operations.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

The incumbent must have a sound knowledge of existing patient information systems (Connect Care, NetCare) for scheduling patients, transcription of requests, and archiving. Must be cognizant of all legal regulations and AHS Policies as they apply to EEG exams (for example, HIA & FOIP). Understanding of patient registration processes and policies preferred. Intermediate knowledge of computer technology and applications including but not limited to: MS Word, MS Excel, MS Outlook, and MS OneNote are essential. Have strong organizational, problem solving, and conflict resolution skills. Be able to listen, comprehend and orally respond to or relay information, directions, or questions in person, over the phone or in writing, in an accurate, clear, and concise manner. Be able to work independently and complete work assignments. Be able to organize and prioritize tasks, while adapting to changing circumstances and interruptions. Be approachable, flexible, reliable, conscientious, professional, willing to assist others, and a tactful team member, contributing to a positive work environment. Have polite and pleasant telephone manners. Must have good command of the English language (written and verbal). Maintain confidential information.
