Administrative Support IV
Your Opportunity:
Working with North Zone Population and Public Health leadership, the Administrative Support IV is responsible for providing administrative support to a designated manager/leader and program. S/he is expected to ensure the effective and efficient management of a wide scope of responsibilities including but not limited to: Planning and organizing (scheduling) activities on behalf of the manager/leader, including making travel arrangements and participating at team meetings. Collecting, preparing, collating, tracking, and editing a variety of data, including liaison with internal and external stakeholders for missing or incomplete information, and timely follow up. Coordinating payroll (entry, submission, reports, etc) for 20+ employees. Organizing, prioritizing, and responding to specific requests for information to support the manager/leader, programs, activities, and committee work, including agendas, minutes, and appropriate follow up. Providing discreet and confidential support to the manager/director related to client, staff, and program issues. Fostering collaboration and teamwork among peers and colleagues locally and zone-wide. In addition to a competitive rate of pay, Primary Care currently has a Remote Retention Allowance in place to an annual maximum of $3,000. This allowance is non-pensionable and is payable on an hourly basis for all hours paid at the basic rate of pay. The incumbent is required to provide a high standard of interpersonal communication and must demonstrate confidentiality, flexibility, and initiative while meeting the needs of other team members. Incumbent uses extensive independent judgment in interpreting guidelines to meet objectives and deliver solutions. This position is part of Primary Care Alberta. Some post-secondary education.
Additional Required Qualifications:Some post-secondary education required (e.g. courses in Office Administration, business administration). Minimum of 3 years progressively responsible secretarial experience, preferably in a community health setting. Intermediate/advanced experience in a Windows-based PC environment, including knowledge of computer applications (including but not limited to Word, Excel, PowerPoint, Teams, Sharepoint, Outlook and intranet applications). experience working within a high-volume, time-intensive organization. ability to work with minimal supervision. ability to work well in a team environment, both locally and across the North region. ability to make sound judgment decisions, including proven experience in successful issue resolution. English language skills in reading, writing, and oral communication required, including proven formatting, grammar, and proofreading skills. proven ability to plan, organize, and prioritize tasks and to formulate decisions in areas of responsibility. proven commitment to customer satisfaction. Ability to adhere to strict organizational policies and procedures and legislated requirements regarding client/patient confidentiality. Ability to handle frequent interruptions and still meet workload timelines, required. Ability to move and lift moderately (up to 30 pounds) heavy objects, required. Ability to operate basic office equipment, including fax, photocopier and personal computer, required.
Preferred Qualifications:Diploma/degree in office or business administration. Two years' experience working with Connect Care.
