Administrative Support IV
Your Opportunity:
Reports to the Manager, Allied Health and serves as secretary for the Rehabilitation Services administrative office. The successful applicant would perform a variety of skilled and confidential secretarial and administrative tasks for the Manager, Clinical Practice Leaders, and Team Leaders. Examples of these duties include maintaining schedules and calendars; coordinating meetings and events; Payroll Time Entry, adjustments, reports and inquiries; requisitions keys and computer access for new Rehabilitation Services staff. Responsible for registering staff for appropriate courses/appointments as they relate to annual requirements. Responsible for maintaining and reconciling Point of Sale for Rehabilitation Services. The successful candidate assists in the preparation of required personnel records. Assumes responsibility to ensure that detailed clerical and secretarial tasks are carried out for Rehabilitation Services staff on a continuous basis. The successful applicant also provides back-up support for other clerical staff within the central rehabilitation area. Assists in reception area as relief for vacation and sick time as required: answers telephones; receives patients; creates charts; completes WCB billing; completes requests from Health Records; ensures appointments are entered and logged in the Connect Care Scheduler; and pulls charts for patient’s scheduled appointments. The successful applicant has the ability to work cooperatively with others in a positive manner, within a team environment. They utilize tact and courtesy in dealing with staff, visitors, patients and the public. They have the ability to organize work independently with own initiative and judgment making adjustments to their work assignments, workload and time lines. They maintain confidentiality. They have the ability to perform work with frequent interruptions.

Additional Required Qualifications:Successful completion of a post-secondary diploma program related to office administration and including computer training is required. Knowledge of medical terminology is essential. Five years general office experience, with a minimum of one or more years in a secretarial position required. General knowledge related to a health care environment and related hospital experience is required. Proficient knowledge of Connect Care Scheduling and Template Building is required. Proficient in Microsoft Office 365 (Word, Excel, Access, Power Point, Scheduling and Exchange) is required. Proficient in SmartDraw/Visio, Adobe is required. Must demonstrate excellent interpersonal and communication skills. Must have an excellent memory for attention to detail.
Preferred Qualifications:Experience working within a collaborative team environment is preferred. Experience in acute care is preferred. Medical terminology course is desired.
