Administrative Support III
Your Opportunity:
This Administrative Support III position is the first point of contact for clients who call and attend the Grief Support Program for counseling. Given the sensitive nature of the Program, the ability to provide an empathic and understanding response to the bereaved who call and attend appointments is of utmost importance. This position requires the ability to focus and multitask within a fast-paced environment. The successful applicant will facilitate initial phone intakes for potential clients, which are often emotional in nature. As part of an established Administrative team, this role requires flexibility and initiative, as well as judgment and discretion in dealing with bereaved clients. It also requires the management of multiple competing demands such as conducting appointment and group reminder calls, managing clinician schedules, ongoing schedule change requests, and regular interruptions. Duties include: Registration of new clients. Booking and scheduling client appointments. Completing registrations accurately and completely in Connect Care. Supporting a busy clinical team. Preparation and support for grief group sessions. Building and maintaining counselor and group schedules/templates. General office duties, including faxing, filing, minute taking and managing mail. Includes other administrative duties as operationally required. Demonstrated ability to maintain a professionalism, manage stressful situations with empathy, and remain calm, courteous, sensitive and tactful with both colleagues and clients at all times is required. The schedule for the .6 is currently Monday/Thursday/Friday but is subject to change if operational needs require.

Completion of Grade 12 or equivalent.
Additional Required Qualifications:5 years of administrative experience in a health care, mental health or counselling environment. Experience and proficiency with Connect Care. Experience and proficiency with Microsoft 365 applications.
Preferred Qualifications:+5 years of administrative experience in a health care, mental health or counselling environment. Post secondary education related to administrative support and/or human services. Experience with booking appointments and client registration.
