Foothills Medical Centre is seeking a highly organized and experienced Administrative Support III to join our Facilities, Maintenance & Engineering (FM&E) team on a 2-year temporary basis. This role supports the smooth, efficient delivery of FM&E services critical to a safe and high-performing hospital environment. Key responsibilities include: supporting payroll processing and time entry validation; coordinating contractor requirements, site access, and permits; triaging and assigning maintenance work orders; maintaining asset records; and managing both digital and hard copy documentation. You will provide day-to-day administrative support to managers and staff, including scheduling and correspondence, and coordinate meetings by preparing agendas, taking minutes, and tracking action items. Additional duties include onboarding support for new staff, preparing reports and tracking metrics, and contributing to projects, system updates, and process improvements. You will also support procurement activities, including processing purchase requests, tracking orders, and liaising with vendors to ensure timely delivery of goods and services. This role requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced, team-oriented environment.

Completion of Grade 12 or equivalent.
Additional Required Qualifications:Strong written and verbal communication skills are essential for success in this position. The successful candidate must have strong administrative experience, ideally in a healthcare, facilities, or operations environment. Experience supporting payroll or workforce scheduling systems is required. Demonstrate excellent organizational and time-management skills with the ability to manage competing priorities. As well as high attention to detail and accuracy, proficiency (Certification in) in office software and administrative systems (e.g., Microsoft Office, work order systems, databases), strong communication and interpersonal skills, with a collaborative mindset. Candidates with E-Facilities, E-People, Markview and I-procurement experience will be given preference. Ability to work independently while supporting a multidisciplinary team. This role engages directly with frontline staff and public inquiries, requiring familiarity with FM&E systems and processes.
Preferred Qualifications:Familiarity with work order or computerized maintenance management systems (CMMS) (e.g., SAP, Maximo, or similar). Strong data entry and reporting skills, including working with large datasets. Experience with records management and document control practices. Demonstrated ability to coordinate multiple stakeholders in a fast-paced environment. Experience with continuous improvement initiatives or process optimization.
