Administrative Support
Your Opportunity:
The Executive Administrative Coordinator for Provincial Systems Programs & Performance (PSPP) provides comprehensive administrative support to the Director, Cancer Care Performance Excellence including the Medical and Program Leads, Senior Project Manager, and project team members. This position is responsible for working on short- and long-term assignments on a variety of program and project initiatives, including identifying the scope of projects and deliverables, managing project timetables, and ensuring that appropriate follow up actions are completed and reported. The position acts as a resource to other team members within the portfolio by providing advice and assistance where required. In addition to a competitive rate of pay, AHS currently has a Remote Retention Allowance in place to an annual maximum of $3,000. This allowance is non-pensionable and is payable on an hourly basis for all hours paid at the basic rate of pay.

Summary of Key Responsibilities: Assists with various projects and initiatives, coordinating project assignments and requests, and researching, compiling and summarizing background project information. Provides project assistance when required including acting as a facilitator, assisting with synthesis of literature reviews and engagement sessions, reviewing/responding to correspondence, and oversight and maintenance of project communication platforms. Oversees staff orientation plans and onboarding tasks. Provides calendar management support and responds directly to day-to-day administrative inquiries. Compiles complex reports and assists with designing data collection tools and data analysis. Supports design and maintenance of web-based platforms such as SharePoint, websites. Coordinates virtual & in-person engagement sessions. Creates infographics and communication materials. Performs various duties in support of the PSPP leadership and administrative teams, as assigned.

Completion of post-secondary education (e.g. certificate in office or business administration). Minimum five years’ experience in a health-related environment. Experience coordinating program projects and activities. Demonstrated ability to problem solve and work with a high degree of autonomy. Strong organizational and time management skills; ability to establish priorities, complete duties with numerous interruptions, prioritize and balance workload, and maintain confidentiality. Extensive working knowledge of MS Office software (Outlook, Excel, Word, Visio, PowerPoint, MS Teams, SharePoint, OneNote, Project). Excellent communication, interpersonal and organizational skills. Excellent formatting, grammar and proofreading skills. Strong collaborative abilities and effective teamwork. Ability to be flexible and willing to learn new concepts.

Preferred Qualifications:
Bachelor’s degree in health/life sciences, business, or related field. Comprehensive working knowledge of Cancer Care Alberta and Alberta Health Services systems, processes, and policies, as well as human resources and finance policies/procedures. Experience working in RedCap, ConnectCare, Tableau, e-People (including RMS).
