Your Opportunity:

The Administrative Support V is an advanced position reporting directly to the Site Executive Director (ED), Royal Alexandra Hospital (RAH). Working closely with the Senior Operating Officers and Executive Directors across the site, zone, and province, this position requires extensive knowledge, skill, and ability to efficiently navigate the healthcare environment with a high degree of independence. Working with limited supervision this position requires fully developed, specialized skills to independently and efficiently support all activities of the diverse programs on site and to appropriately handle confidential and politically sensitive information and situations. The incumbent must exercise judgement, discretion, and independent decision making across the spectrum of activities and provide leadership, mentorship, and direction to other administrative staff within the portfolio. Working in a fast paced environment with multiple competing demands, the incumbent is expected to act as a delegate for the Executive Director and as an information conduit within the portfolio, clinical divisions, RAH and other AHS sites, zone, and provincial partners. The incumbent will be responsible to make independent decisions to navigate and solve problems effectively. The RAH site is one of the largest, busiest, inner city hospitals in Alberta with over 7,000 staff and 895 inpatient beds. The Administrative Support V Assistant manages the Executive Directors schedule & email, responds to general inquiries and concerns from staff, patients, and visitors, monitors and triages incoming correspondence, prepares a wide variety of documents including drafting memos and preparing reports and presentations and provides support to meetings and events as required.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

Secretarial or Office Administration certificate/diploma is required. Minimum of 7 years’ experience in a secretarial administrative position. The incumbent is required to work in a fast paced atmosphere and must be able to effectively manage multiple tasks. Excellent knowledge of computers and various software packages including Microsoft Office applications. Expert knowledge of audiovisual equipment and applications. Must be able to work independently and as part of a team. Outstanding communication skills are essential as well as an aptitude to provide a positive and friendly approach in dealing with challenging situations with empathy and sincerity.

Preferred Qualifications:

High level administrative position experience preferred. Knowledge of the AHS organizational provincial structure is an asset. WHIMIS, Workplace Health and Safety, and Emergency Response Code Courses are an asset.
